ITAD
Secure IT Asset Disposition
Shivnet retires business equipment through IT asset disposition (ITAD). Every drive is erased by software to the NIST 800-88 method with a certificate of data destruction for each device, every asset is reported by serial number under chain of custody from collection to the final report, and resale value comes back through buyback or revenue share.
ITAD Services
What Our ITAD Service Covers
Use one service or combine them, from a single scheduled pickup to a full data center decommissioning.
Secure Data Wiping
Every drive is erased by software to the NIST 800-88 method, and you receive a certificate of data destruction for each device, from phones to servers.
Serialized Audit Reports
Every asset we receive is recorded by serial number, and your report shows the outcome for each one, for example resold, remarketed or returned to the lessor.
Scheduled Pickups
We collect from your site on a date agreed by email, with chain of custody from collection to the final report. One pickup can cover several device types within the agreed scope.
Asset Recovery and Resale
Equipment that still has value is tested, refurbished where needed and resold. The value returns to you through buyback or revenue share.
Lease Returns
Off-lease equipment is wiped, tested and reported on, then returned to the lessor or remarketed. Leased units can be collected in the same pickup as the equipment you own.
Data Center Decommissioning
Servers, storage and networking equipment are de-installed, inventoried and removed. For racked equipment, chain of custody begins at de-installation, and every unit is recorded in the serialized audit report as it leaves the rack.

Records
What You Receive
The documents that close every ITAD job.
Per Device and Per Job
The certificate of data destruction is issued per device, not per job, so a question about one laptop, phone or server is answered by that unit's own certificate. The serialized audit report is one document for the whole job, so finance and IT work from the same list. Together they put the erasure and the outcome of every unit on record.
| Document | What it lists | What you can do with it |
|---|---|---|
| Certificate of data destruction | One device and the erasure of its drives by software to the NIST 800-88 method, issued once the wipe is complete | File it with that device's asset record |
| Serialized audit report | Every asset received, by serial number, with its outcome | Close your asset records, compare it line by line with what left your site and match each unit to its value outcome |
Who It Is For
When ITAD Is the Right Fit
Four events bring equipment to retirement. The service is built for corporate offices and IT departments, schools and colleges, healthcare practices, government, and leasing companies.
Refresh Cycles
For IT managers replacing a fleet of laptops, desktops, tablets or phones. The outgoing units retire through a scheduled pickup while the replacements go in, and any resale value left in them comes back through buyback or revenue share.
Lease Ends
For leasing companies' returns teams and for organizations whose lease is ending. Both need the same thing at lease end: data erased and every unit accounted for before the equipment changes hands.
Data Center Consolidation or Closure
For IT and operations leads merging server rooms or closing a site. De-installation is part of the scope, so nothing needs to come out of the rack before we arrive.
Office Moves and Closures
For office managers planning a move or closure. Equipment that will not make the move retires through ITAD, while what you keep is de-installed and relocated through our on-site services.
How It Works
From Pickup to Final Report
Chain of custody runs from collection, or from de-installation for racked equipment, to the report you receive at the end.
-
1
Plan and Schedule
Email us what is being retired and where it is. We reply to agree the scope, including any leased or installed equipment, and the pickup date.
-
2
Collect
We collect on the agreed date, and chain of custody begins at that point. For data center work, it begins as the equipment is de-installed and inventoried.
-
3
Record
Each asset is recorded by serial number on receipt, and these entries become the lines of the serialized audit report.
-
4
Wipe
Each unit's drives are erased by software to the NIST 800-88 method, and that unit's certificate of data destruction is issued at this step, before any testing or resale.
-
5
Recover Value
Equipment is tested. Units with resale value are refurbished where needed and resold, returning value to you through buyback or revenue share, and off-lease equipment is returned to the lessor or remarketed.
-
6
Report
You receive the serialized audit report with the outcome for every asset, plus the certificate of data destruction for each device. This closes the job and the chain of custody.
How to Prepare
Before Your Pickup
What to have ready for your first email and for the day of the pickup.
- Count devices by type
- Confirm the pickup location
- Flag off-lease equipment and its lessor
- Note installed equipment needing de-installation
- Say whether you prefer buyback or revenue share
- Keep your own asset list to compare
- Leave drives in place for us to erase
- Tell us which units you plan to keep
Value Recovery
Where Each Unit Ends Up
Every unit ends up in one of four places, and the report shows the outcome of each asset we receive.
| Outcome | Applies to | What you receive |
|---|---|---|
| Resold | Equipment you own that still has value | Payment through buyback or a share of the proceeds through revenue share |
| Returned to the lessor | Leased equipment going back at lease end | A certificate of data destruction for each unit, with the return recorded in the report |
| Remarketed | Off-lease equipment that does not go back to the lessor | Its outcome in the same report as the returned units |
| Kept and redeployed | Units you mark to keep when the scope is agreed | Nothing to collect or report: the units stay with you, and if they need work before reuse, see Related Services below. |
For Equipment You Own
Buyback and revenue share apply to equipment your organization owns. Off-lease units go through lease returns instead, since the lessor owns them. Name the lessor when we agree the scope. Which of the two routes applies is agreed with you by email, and you can state a preference in your first email.
| Buyback | Revenue share | |
|---|---|---|
| What Shivnet does | Purchases the equipment from you | Sells the equipment and shares the proceeds |
| What you receive | What Shivnet pays for the equipment | A share of the resale proceeds |
Refurbished Before Resale
Whichever route applies, a unit is tested and, where needed, refurbished before it is resold: the route changes how the value comes back to you, not what is done to the unit. As an Authorized Microsoft Refurbisher, we reload the laptops and desktops we refurbish for resale with genuine Windows.
Glossary
ITAD Terms Explained
The terms used on this page.
- IT asset disposition (ITAD)
- The managed retirement of business IT equipment: collection, data erasure, a record of every asset and its outcome, and value returned from what is resold.
- The NIST 800-88 method
- The US National Institute of Standards and Technology guideline for erasing data from storage media. Our software erasure follows it on every drive.
- Asset recovery and resale
- Recovering the value left in retired equipment: it is tested, refurbished where needed and resold. For off-lease equipment the resale step is called remarketing.
- Lessor
- The leasing company that owns leased equipment and takes it back, or has it remarketed, when the lease ends. The organization using the equipment is the lessee.
- De-installation
- Disconnecting installed equipment and removing it from its place of use, whether racked servers, storage and networking equipment or devices on desks.
Questions
ITAD Questions Answered
Direct answers to common questions before a job begins.
Do we need to wipe or remove drives before the pickup?
No. Leave the drives in place. Wiping happens after collection, under chain of custody, and the certificate of data destruction for each device is issued at that step.
Can we start without a list of serial numbers?
Yes. Every asset is recorded by serial number when we receive it, and the serialized audit report is built from that record, so you can start even if your own records are incomplete.
When do we receive the report and the certificates?
At the close of the job. The report is issued once every asset has its outcome, and the certificates of data destruction for each device come with it.
Can we check what happened to a specific asset?
Yes. The serialized audit report lists each asset by serial number with its outcome, so any single unit can be looked up. If your records and the report differ, email us.
Can you store equipment we are not retiring yet?
Yes. Equipment you are keeping but not using yet can go into our warehousing and inventory service (see IT Services) until you need it.
What if some equipment is leased and some is ours?
Both can go in one pickup. Owned units go through asset recovery and off-lease units through lease returns, and the report shows which route each unit took.
Who arranges a lease return, the lessor or the lessee?
Either. Whoever arranges the return agrees the scope and the pickup date with us by email. If you are the lessee, name the lessor and the return date in that email.
Can some units be kept and redeployed to our own staff?
Yes. Tell us which units you are keeping when we agree the scope. Those units are left out of the retirement, and if they need repair or imaging before they go to their next users, our repair and IT services can take that on.
